Jixaw Technologies is a technical and professional services firm serving arts, culture, and nonprofit organizations. We combine technical expertise, creativity, and an understanding of the arts sector to deliver solutions that improve organizational efficiency and the patron experience. Jixaw's work includes custom websites and applications, system integrations, online booking and registration, giving and membership tools, data and reporting solutions, and strategic and staffing support.

Jixaw is seeking an experienced Associate Project Manager to lead the successful delivery of client projects from initiation through completion. The Associate Project Manager is responsible for managing project scope, schedules, budgets, resources, risks, dependencies, and communications while serving as a primary point of contact between clients and Jixaw's internal project teams.

Projects may include website development, custom applications, system integrations, ticketing and CRM solutions, payment solutions, online booking and registration, reporting and analytics, and other technology initiatives.

This role requires a motivated, self-directed individual who can manage multiple projects simultaneously, build strong client relationships, facilitate collaboration between technical and non-technical stakeholders, identify and resolve issues, and keep projects moving toward successful completion.

Key Responsibilities

Project Management and Delivery

  • Lead projects from initiation and planning through execution, testing, delivery, and completion.

  • Develop and maintain project plans, schedules, milestones, budgets, resource requirements, and deliverables.

  • Manage multiple concurrent projects while balancing scope, schedule, budget, resources, and client priorities.

  • Monitor project progress and ensure work remains aligned with agreed-upon requirements and objectives.

  • Identify and manage project dependencies, critical paths, risks, bottlenecks, and resource constraints.

  • Proactively address issues that could affect project scope, schedule, budget, or quality.

  • Manage changes to project scope and ensure additional or changed requirements are appropriately documented and communicated.

  • Coordinate internal and external resources to ensure project activities and deliverables are completed as planned.

  • Track project decisions, action items, risks, issues, and outstanding client requirements.

  • Ensure appropriate testing, client review, approvals, and completion of project deliverables.

  • Support the successful transition of completed projects to ongoing support or maintenance when applicable.

  • Identify opportunities to improve project delivery and incorporate lessons learned into future projects.

Client and Stakeholder Management

  • Serve as a primary point of contact for assigned client projects.

  • Establish clear expectations regarding project objectives, scope, responsibilities, timelines, deliverables, and communication.

  • Lead project kickoffs, status meetings, working sessions, and other project-related discussions.

  • Provide clear and timely project status updates to clients, project teams, and Jixaw leadership.

  • Manage client expectations and proactively communicate risks, changes, delays, or decisions that may affect project delivery.

  • Facilitate decisions and ensure action items are assigned and completed.

  • Escalate issues when necessary and work with the appropriate stakeholders to reach resolution.

  • Build and maintain strong client relationships throughout the project lifecycle.

  • Maintain a high level of responsiveness and customer service.

Team and Resource Coordination

  • Lead cross-functional project teams and coordinate work across development, design, professional services, quality assurance, and other resources as required.

  • Work with technical resources and other project managers to prioritize work across all Jixaw projects.

  • Work with internal teams to establish priorities, assignments, dependencies, and delivery dates.

  • Facilitate communication between technical and non-technical team members.

  • Ensure team members understand project requirements, priorities, responsibilities, and deadlines.

  • Collaborate with third-party vendors and technology partners when projects involve dependent systems, services, or integrations.

  • Identify resource needs or constraints and communicate them to Jixaw leadership.

  • Work effectively with a distributed team across multiple time zones.

Project Governance and Documentation

  • Maintain accurate and current project plans, status reports, meeting notes, decisions, risks, issues, and action items.

  • Monitor project budgets and resource utilization.

  • Ensure project scope and approved changes are clearly documented and communicated.

  • Maintain appropriate project documentation throughout the project lifecycle.

  • Document project outcomes and lessons learned.

  • Contribute to the continued development and improvement of Jixaw's project management processes, standards, and best practices.

Required Qualifications

Experience

  • 3–5 years of project management experience in a professional services, technology, software development, digital, or related environment.

  • Experience working in the arts, culture, museum, nonprofit, ticketing, or related technology and services sector.

  • Demonstrated experience managing multiple projects simultaneously.

  • Experience managing project scope, schedules, budgets, resources, risks, and client expectations.

  • Experience managing web development, software implementation, database, integration, or other technology projects.

  • Experience working directly with clients and stakeholders at multiple organizational levels.

  • Experience coordinating developers and other technical resources throughout the project lifecycle.

  • Experience with change management, stakeholder management, risk management, and issue resolution.

  • Bachelor's degree in a relevant field preferred but not required.

  • PMP or other recognized project management certification preferred but not required.

Technical and Industry Knowledge

  • Familiarity with web development and software development project lifecycles.

  • Experience working with database-driven projects; SQL knowledge or experience is an asset.

  • Experience with ticketing, fundraising, CRM, or related systems is preferred.

  • Experience working within the arts, culture, museum, or nonprofit sector is an asset.

  • Familiarity with Tessitura and/or Spektrix is highly preferred.

  • Experience with projects involving ticketing, fundraising, membership, CRM, websites, payments, reporting, or system integrations is an asset.

  • Ability to understand technical concepts sufficiently to facilitate communication between clients and technical teams.

  • Proficiency with Microsoft Office and project management and collaboration tools.
